 How Do I Set Up My Portfolio?
You can set up your account online.
You must be registered on the site, then go to the 'Join Us' page on the website and purchase a portfolio subscription.
The site keeps your original files names of images uploaded, this allows you to have the same file names at home and in your portfolio.
You can upload images to your account over the internet as long as each image is less than 10 megs when saved as a JPEG ( always save your images at the highest quality and always keep a back up copy )
If your images are bigger than 10 meg you can send us them using www.yousendit.com or send us a CD/DVD and we will upload them for you. You must have set up an account before sending us images using these methods.

Make sure you write your name, address, daytime telephone number and your email address on the CD/DVD. Only use a soft tip pen suitable for writing on a CD/DVD.
Note: Please do not use re-writtable CD's as they are more likely to deteriate over time.

 Why do Latent Light need to check the images?
This site relies on the content and image quality to give the customer the best quality and choice of products they can possibly buy.
By keeping the standards of the site high it gives us an excellent reputation as the first source of images and prints on the Internet.( Which is what we want to be. )
By producing the ' wow ' factor in our customers visits to this site we increase the chance of our name being spread by word of mouth and increase the chance of repeat custom.  Top

 What happens after I have uploaded my images or sent you a CD/DVD?
Within 1 working day of receiving your uploads or CD/DVD your images will be individually approved or declined and added to your subscription.
All you need to do is log on to your photographers admin. In account there is a link to pay for your subscription and upload credits. This page shows you information about your subscription everytime you log in to your admin.
Click this link and fill out the subscription payment form. Uploads can be purchased as bulk credits, minimum of 50 for £5.Unused credits will be added to your account and can be used for your next uploads.
If you are purchasing more image credits for your portfolio the subscription payment form will take payment for your uploads only. If your subscription has less than 1 month until it runs out the site will also ask for payment of your re-subscription.
After your payment has been made your images will appear in your portfolio automatically and are ready for updating. Top

 How do I make money from my images?
After payment of the subscription and upload fees for your images they will be automatically assigned products from our database so that people can purchase them online.
For every PRINT or CANVAS print sold through the site you will make 40% of the total purchase NET price, except Limited Editions.
For every LIMITED EDITION sold through the site you will make 60% of the total purchase NET price.
For every PHOTO GIFT sold through the site you will make between 20% and 40% ( depending on which product ) of the total purchase NET price
For every ELECTRONIC image sold you will make 80% of the total purchase NET price.
VAT will be paid on your royalties if you are VAT registered and have entered the relevant information in your account details.
No royalty payments are made on Printed products bought by photographers at their discounted rates. Royalty payments are only paid on products purchased at our retail price.

 What currency are royalties paid in?
All royalties are paid in £ ( Sterling ) as standard.
If you would like your royalties paid in your local currency some transfer cost may be incurred.

 What do you use your share of the money for?
We pay to have the prints produced, checked and packed for despatch. We have to pay transport, staff and office overheads to be able to run the company.
We have to pay all the overheads for the running, maintaining and updating of the site.
We have to pay for advertising and promotion of the site. Top 

 What sort of images do Latent Light want?
Any photographic images of good quality that are correctly exposed and that you hold the copyright for.  Top

 How much does it cost to put an image on the site?
For every image uploaded to the site it will cost you a maximum of £0.10 per image. Uploads can be purchased in bulk for extra savings.Minimum of 50 uploads can be purchased at one time. Top

 What sort of images do Latent Light NOT want?
Any image that you personally do not own the copyright for. (i.e.. You do not own the image or have written permission from the owner to sell the image. )
Any images that are poorly exposed or badly damaged
Any naked images of children. Any image that is pornographic.   Top

 When will my images be on Latent Light?
As soon as you have made a payment for you uploads your images will appear in your admin area ready for you to add details to them. If you have upload credits on your account, the site will add the accepted images when you log in to your account. If you do not log in to your account they will not appear on the website.
They will have the Latent Light copyright logo embedded in them.
Your subscription starts from this date.   Top

 What else do I get for my money?
You get 20% - 40% off on all of the printed products on Latent Light, so if you want an image printed from your portfolio or you want to print another image using the 'Print your own' feature you get a very good deal.
You can sell your images as many different products, some unique to us, plus have the benefit of our edit functions to allow customers more control over their purchase.
You could have your images put in to one of the collections or become a featured photographer with a link from the homepage.
You can change images in your galleries, display them in multiple categories, hide them, delete them, rename them or add your own keywords for the search facility using your Photographers Admin.
Advertising and Promotion of the site for more photographers and more customers.  Top

 When do I get paid for a sale on the site?
Royalties get added to your account 31 days after a sale is made, the amount you can claim or request as a cheque is displayed on the sales report page when you log in to your admin.
You can use the royalty payment due to pay for uploads, subscriptions or any other product on Latent Light or you can request that a cheque is sent out.

Using the Sales/Royalties link in your Photographers Admin you can see which images have sold, for how much and how much you have made from your sales. This feature is real time and updates the instant someone purchases one of your images. Images purchased with in the last 31 days will show as royalties pending. After 31 days the amount will be added to your account automatically.

We no longer pay royalties every 3 months and you must request a payment via your admin if required. Please allow 7 days for a cheque to reach you. We do not issue a cheque for less than £10 GBP unless your subscription has expired. We will be able to make payments direct to your account in the near future.  Top

 How much is the subscription?
A yearly subscription is £49.
A month before your subscription runs out you will be sent an email asking whether you would like to re-subscribe for another year.
For every year you re-subscribe your yearly subscription will be £49.
The subscription pays for the the storage of your images on LatentLight, you can have as many images as you like on the site and it still only costs £49 max. ( excluding upload fees )
As long as the subscription is paid each year you can keep your images on the site without having to pay to have them uploaded again.  Top

 Can I subscribe if I do not live in the UK?
Yes, we accept subscribers from anywhere in the world.
Are there are extra costs subscribing from overseas?

 What happens if I don't repay my subscription?
If you stop paying your subscription your images are automatically removed from the site.
The database will hold your images for a further 6 months before permanently removing them unless you request us to remove them via email. Top

 What if I want to cancel my subscription before it runs out?
If you cancel your subscription before the end of its term, we can remove your images from the site if you wish. You will not be entitled to a refund of the subscription fee or any of the costs to upload your images.
Otherwise you can leave your images on the site until the end of the subscription and they will be dealt with in the same way as not repaying your subscription.
If you have images in the collection section of the site you can not remove them until the new collections are launched. This is because they will be available in our brochure that has been sent out to clients. The collections get changed every 6 months.
If you choose to leave your images on the site you will be paid your royalties on sales until the end of the term.  Top

 How do I add more images?
You can upload new images directly to your portfolio using your upload area as long as the images are less than 10 megs each when saved as a JPEG, or use www.yousendit.com or send us a CD/DVD and we can upload them for you.
The images will appear in your account 1 working day after we receive them. When you log in to your admin, go to account and the site will either take payment for your uploads from your upload credits or ask for payment.Your images will then appear in your portfolio.  Top

 How are my images put on the site?
Each image will be re-sized for the website and the Latent Light copyright logo applied for security.
Images will only appear in the main database once you have added keywords. The main database relies on the keywords to place the images in the correct places. If you add NO keywords the image will not appear in the main database and searches.
Each image will be automatically assigned products from the database so that customers can buy your image. The amount of products assigned are determined by the file size of each image.
Each image is sorted into your portfolio and the database. NOTE: The main database updates every 24 hours and sorts all of the images in to categories depending on the keywords assigned to them. Until then new images will only appear in your portfolio or searches. You can move your images around with in your portfolio and put them into categories of your choice.
Any portfolio categories you would like to have as an exhibition will be sorted and a link placed on the site. You can have as many exhibitions as you like on the site. Any images that are in an exhibition are also displayed in your portfolio and the main database. Exhibitions are checked by our staff before they are accepted.

 What information do I need to give you about the images?
Using the Photographers Admin. you can enter Titles, Keywords, and other information about each of your images using our user friendly functions. Each newly uploaded image is placed in 'Images waiting update' so that you can easily see which images you have not updated. On your first visit to the Photographers Admin you will need to check and update information about your subscription and images.
You will also need to tell us whether or not you have got a release for each image. (If a license is reqd)  Top

What is a Release?
A release is a license that allows the sale of particular types of images for advertising purposes and commercial products.
Do I need a release for selling my Images?.
Yes and No. Some images need to have a Release because they are of private property or people or a logo.
The release allows you to sell them for commercial or advertising use.
Images that require a release by law cannot be sold from this site for advertising and commercial use until a release is obtained for them.
If you have not got a release for an image that requires one, the site will not allow customers to purchase that image for commercial/advertising uses, but will still allow the image to be sold in every other way.
Latent Light will not be held responsible for any images that have NOT got a release when told that they have, and your details will be passed on to the authorities if required to do so by law.

 How should I Title my images?
You can assign a title to each of your images but please be wary of using () brackets or other symbols other than letters and numbers. If you enter symbols into any of your titles DO NOT put a space in front or after the symbol. The site will automatically put an underscore (_) in place of the space. This is protect the site and database.
You don't have to give your images a title if you don't want to but for images of places, towns, villages or landmarks we would prefer you did.  Top

 Where do my images show up in the site?
In searches for specific words or images. (With all other photographers images.)
In the browse category section. (With all other photographers images BUT only 24 hours after you have added keywords)
In your own Portfolio. (This only displays the images YOU have taken.)  Top

 How can I control what my Portfolio looks like?
You can set up your own categories with in your portfolio and sort your images into these categories. You can have as many categories as you like. This does not affect the main database
You can not change the fundamental design of your portfolio Top

 What licenses are applied to my images on the site?
All the images on this site are non-exclusive. This means that the image can be bought for use many times by as many customers that want to buy them. The customer pays each time they use the image and the price depends on what they want to use it for, for how long and where. They need to fill out an authorisation form before it is sent to them stating the intended use.  Top

 Do I own the copyright on my images or do Latent Light?
You always own the copyright of the images on the site, but by subscribing you authorise us to be your agent in selling your images. This means that we can sell them from the site on your behalf.  Top

 Do LatentLight have exclusive rights to my images?
No. You can use your images however and wherever you like whilst they are on the site.  Top

 Latent Light will not be held responsible for the following:
Images being sold on the site that we have been told have releases but in fact do not.
Any breach of copyright laws that any of your images have applied to them. We assume that you own the copyrights for the images on the site.
Any illegal copy of your images from the site and subsequent use in any form of media.
Although we at Latent Light Ltd try to ensure the information contained in our website is correct and true we can not be held responsible for any errors or omission's within the website.
We at Latent Light Ltd reserve the right to change any areas of the website without prior notice to any of its users and subscribers and can change the products and pricing structures for products, postage and services at any time we see fit to do so. Any changes to the subscription option for photographers will be emailed to subscribers before changes are made with 1 months notice given to said changes.
